Wednesday August 12th, 2020 6:30 pm OHS Library Call To Order: 6:33 pm Introductions Secretary’s Report: Posted on-line - approved Treasurer’s Report: No report due to Fidelity Bank being down due to the internet issues with recent storm. Started with about $34,000.00. Expenses payed out includes football trailer, weight lifting bands, posters, which gives approximately $28,050.00 as a balance. Official report will be given at September meeting. Ad Report: Mr. Schauf presents as first time roll as AD. Baseball All Conference HM Gage V, Softball All conference, Naomi Goede, Zoey Reisner, Kennaday Lape. Track is complete. Shared the parent letter for student-athletes in regards to what is being done for Covid. Discussed social distancing and that Jr high BBall may be played at Sacred Heart. Activity Pass - Booster club passes at the 10.00 level for everyone. We will just need a total and the bill the booster club when we have that number. Oelwein Family Pharmacy is being bought out by Hyvee Pharmacy, Does Booster club want that space and cost. - discsuusion regarding asking Hyvee and BCHC if they are interested in that space before. Workers for events. Need help Sept 1st for XC meet. The plan is to run 2 race sites with one at the complex and one at the golf course. JH at the completes for 1 mile and JV/V at the golf course as normal. Hudl Request - Currently we pay 4000.00 for hudl total for all the programs part of that the booster club has helped fund for the football assist Coaches Open Forum: No report Old Business: Husky Inflatable - Fidelity Bank, Birdnow, Iowa National Guard, and Cornerstone Realty have all contributed $1000.00 each for logo to be printed on the side. Total cost was around $5300.00 - So would be $1300-$1500 from the Booster Club. Survey had 37 kids respond with favorable responses. It would be used at football games this fall if we can get it in. Motion: Terry Rex made a motion to fund the remaining balance of the Husky Inflatable for purchase. Ryan D Second. All ayes motion carried. Hudl Request - Currently we pay $4000.00/year for football assist and basketball assist. The booster club has payed for $1900.00 in the past with the programs covering the rest, which is about $2000-$2500. Hudl has come out with a package which includes all sports at a discounted rate for a 2 year deal. The package includes more detailed use and video analysis and the ability to live stream at no cost to the viewer. The current program Pixalot required subscriptions to view and was with a lag, a single camera view and no score. This program would have 4 cameras in the gym with one focused on the score at all times. Football could get sideline package that can watch the last play sent down to sideline on an IPAD. All stats are completed for them. Dance and cheer can also use. Film options are enhanced greatly. Ipads could be used at SH gym if games are played there and at the baseball and softball fields. Hotspots would need to be used at the fields. Motion: Jeremy Logan - Made a motion we allocate $1900.00 this year and next year for a total of $3800.00. Second Ryan D All Ayes motion carried. New Business: Fall Fund Drive - (Nick Schauf to speak on how we will be collecting FundDrive) - Paper copies of cards and sending kids to business with social distancing is not recommended this year. Varsity bound is already payed for by the school and contains a great deal of data for all sports. It also has a fundraising tab that can be set up. Mr. Schauf showed a couple examples of other schools using this already. There is no extra cost and the booster club could have access to this for fall fund drive. Jean will speak with Fidelity Bank to see if we can accept credit card payments and what fees might be attached with this. Terry Rex and Jim Prouty will have access to set up the design on the Varsity Bound site. Donations levels will be as follows with the bonus for donating as follows: Top Dog - $1000.00 - includes a parking spot, 6 activity tickets, name on the sign Super Booster - $500.00 - 4 activity passes Hall of Fame Husky Booster - $300.00 - 2 activity passes All star Husky Booster - $250.00 Gold Husky Booster - $100.00 Purple Husky Booster - $50.00 White Husky Booster - $25.00 Missy Jeanes - Booster Club website reimbursement was $36.34 through GoDaddy x 2 years to set up and manage our web page. He spoke regarding a conference meeting he attended. Concession stands for summer sports may not be allowed. Another option may be that all product has to be prepackaged and will not include prepared food. Discussed summer sports and the possibility that fans would not be allowed. This would be decided upon as a conference. Wouldn’t be a ticket taker etc to decrease exposure to one another. At this time we have no direction on if summer programs will be allowed. Mr. Schauf spoke of Varsity Bound which is a website we already have access to and could be a kick off for fundraising in the fall for the booster club. Businesses could donate via the website and the fundraising could be more streamlined and less time consuming. Businesses would be recognized via social media and the insert for the programs. Discussed fans and plans would be decided as a conference. Wouldn’t be a ticket taker etc to decrease exposure to one another. At this time we have no direction on if summer programs will be allowed. Coaches open forum: none reported Old Business: Track Meet any updates? Will try to look at having this in the fall if possible. Dueling Pianos any updates? The company will work with a date we pick for the future. No money has been lost in this at this time. Summer Concessions - per discussion from new AD Nick Schauf - Softball potentially can start on the 8th and baseball on the 15th. Practices June 1st. Discussed limited product that was prepackaged only. We felt like we should have something if fans are going to be allowed. We would get masks, gloves and have to limit the number of staff working in the concessions and may need to be adults only. Season would potentially have a limited number of games and be a condensed season. It was decided to table this until a decision is made if there will be a season and then can have an emergency meeting to discuss details. New Business: Request from the football team for a new trailer $5,550.00 for the project is what is being asked of from the booster club. Football has been using a trailer at no cost from the Oelwein PD, but this trailer will no longer be available. The overall cost of the project is approximately $7000.00, which will include a wrap on it to represent the school. Oelwein Booster Club would be recognized on the trailer. Use would be for hauling equipment for the football team, along with use for cans in the fundraising. This quote is from Avalon tire. School is paying for the wrap on the trailer. The trailer is hauled with a school truck by a staff member. Discussion regarding licensing, which would be registered through the school. In the off season of football, the trailer could be used by other teams. MOTION Mr. Rex made a motion to allocate $5,550.00 for the purchase of an enclosed trailer, Erin Ryan second. - All ayes motion carried. Nominations for Booster Club Officers. Inflatable - Looking at ways to spice up athletic venues. Looking at a professional quality inflatable. 19 feet tall, 20 feet long. Husky head that players would run through. We have 4 companies that would give $1000.00 for sponsorships which would leave 1500.00 left. Takes just a few minutes to set up and take down. Would have a 2 year warranty workmanship, 1 year on warranty motor. Discussion regarding sending out a survey to coaches and players to see if this is something they are interested in. Open Forum: Inflatable, Ron and Jim discussed ways to spice up athletic venues. They have looked into a professional quality inflatable. It is 19 feet tall, 20 feet long, in the shape of a husky head that players would run through. It would hopefully attract younger kids to aspire to be able to run through that some day. Will be adding another level at the softball level so will have more dates. A sign up has been sent out and still have about 9 dates to take care of. Jr. High may also be taking a couple dates. Mr. Lueck is still looking for 3 dates to fill for track concessions. Coaches open forum: Coach Lape - Would like to get 30 bands to use for weight lifting program and currently only has 4 of them. Used for stretching, speed training, etc. $792.50 is the total cost. Motion: Ryan D to approve the $ 792.50, Deena S second. All ayes - motion carried. Coach Schauf says thank you for the practice uniforms. They came in very handy and kids really liked them. Incoming freshman has a large number out for basketball and there are not 20 of any one uniform and next year the freshman may use those as their game uniforms Old Business: Track Meet updates - The form has been finalized, the cost will be at $10.00/kid, there will be a $2.00 entry fee. Serbro cost is $6.00/shirt for 100-199 shirts +2.00 for XXL, Kerns cost for 100 + is $4.95. Discussion regarding getting sponsors to cover this cost. Also discussed medals for 1,2,3 place and contact CJ’s for them who may also donate. They will be asking for volunteers for workers to cover gate, concessions, runners, timers, etc. Coach Geoller is asking for volunteers from track kids to volunteer. Contact Mr. Harrison to see if he would be willing to run this meet. Will be inviting schools from a 30-40 min radius and possibly conference schools. Will be getting flyers made and then send them out to these schools. Participants can sign up for up to 5 events, 2 field and 3 running events. Order of events discussed with field events in am and then start with the mile. Depends somewhat on entries and the amount of kids may determine the order of events. This is all pre-register and shirt by 4/3 is guaranteed. Discussion regarding adding a charge to walk in vs the pre-register. Discussion regarding medical coverage. Discussion regarding custodian or if we can clean up our own mess. Softball throw for 2-3rd, 4-6 shot put. Booster club will have concessions stand. We would bring in our own food. 8:30 am start time with check in time 7:30 am check in. Dueling Pianos updates - Time has been moved back to 8pm- 1030pm since there is a show at the Williams Center. They usually end up going extra anyway for tips. Setting up around 5 pm at the Plaza. Matt Vogel has been spoken to regarding insurance. Liquor license has been applied for. Dram Insurance Coverage for Liquor liability coverage at 1,000,000 is $549.00/day through Matt Vogel. Travis has a media kit from the company regarding creating an event on Facebook etc. Travis will send out a google sheet to sign up for events for volunteers. Discussion regarding getting tables set up to 8 for top table, drink tickets at cost of $1000.00. 4 businesses have already agreed to that which already covers the expense. Option of 4 person and 2 person reservations will be available. After that there will be standing room only with a few chairs available around the perimeter. Age limit will be 21 or above. Charge to get in discussion, $20.00 with 2 drink tickets. Reserved table for 8 includes 8 drink tickets. Discussion to map out and reserve tables at cost of $100.00/table to reserve on top of the $20.00 per ticket. Ordering from Fareway and will be delivered. Fahr Beverage in Waterloo may be willing to be a sponsor. Community Bank, Oelwein Dental, Vogal Insurance, Oelwein Family Pharmacy are already sponsors. Plaza is charging $50.00 for the cost of utilities and cleaning fee. Doors open at 7pm. New Business: Summer Concessions - Will discuss further at next meeting in regards to ordering. OHS Speech team- Division I rating in Reader’s Theater and Short Film! Winter PostSeason starts this week for Wrestling. The Girls Basketball postseason starts on 2/15 and will play Jesup at 5pm. Boys basketball and Bowling will start the week of 2/17. Oelwein has been selected to host a Girls postseason game on 2/21 at 7pm. New Conference Information- Oelwein will be part of the NICL in 1 ½ years if approved by the other schools in the NICL. Competition against NICL teams will start in the Fall of 2021 with volleyball and cross country. Spring Sports- Indoor Track and Field season will start Feb 17th. Golf and Tennis season will start March 16th. IHSADA State Convention will be March 29th-31st. Coaches- Several dates are available at our Spring Track Concessions to make some money for your club or activity. Here they are- April 14th GVTM 4:30 PM $150 April 20th BVTM 4:30 PM $150 April 27th WVTM 4:30 PM $150 Oelwein facilities improvement timeline: Summer 2020-New scoreboard for HS gym Fall of 2020- New Track surface Spring of 2021-New HS Gym floors. (Special thanks to Josh and Travis with all of their help on past, present and future athletic facility improvements at Oelwein). Projected numbers for Baseball and Softball this summer look very good. Around 40 baseball players and almost 30 softball players are expected to go out. We will have 4 levels of baseball and 3 levels of softball. Due to the increase in softball participants, Oelwein will need to hire a 2nd assistant for softball. March agenda- Address summer concession. Signups and management. 40 events, 25 events covered based on what we have done in the past. Not enough teams to cover events. Mr. Lueck also reported on the classification survey from the state. Approximately 350 schools reported with superintendents, principals, and athletic directors responding. 74% believe there exists a competitive inequity amongst the schools. The top 3 factors impacting this are reported as non-public schools, socio-economic status, and level of student participation. The IHSAA and IGHSAU are looking into developing a policy to address these factors. Coaches open forum: Mr. Kuennen reports golf will start soon, he has ordered a few indoor items to use to begin practice. His numbers may be a bit less this year. Mr. Morgan thanks Booster Club for new MS uniforms, reports they look nice and the kids like them. Old Business: Track Meet updates - $10.00 entry fee is being considered and may include t-shirt. Discussed potential sponsorships for these to offset some of the cost. Jim Prouty will look into that through Sebro and Mike Kerns. The meet is scheduled for April 25th. Dueling Pianos updates - Deena, Mia, Erin are on decorating, beverage, food detail. Will need a set up and clean up crew. Possibly somebody to take money at the door. April 25th is also the date for this. Missy will create a sign up sheet for this and ask for volunteers. Will begin to market after March meeting. Missy will speak to Travis about sponsorship for cost of the dueling pianos. Banner for sports to use. Jeremy presented the banner which is much larger than the prior one and looks great. Will begin to use at events. Booster club banner - A banner in gym for sports, baseball, softball, etc to advertise for the booster club memberships would be 2.5 feet x8 feet $150.00. Colin Morgan MS Basketball is requesting $2100.00 uniforms for 7-8th grade boys basketball. They will be reversible and will purchase 50 uniforms. Average is 18-22 kids out so ordering 25 for varying sizes. Current uniforms are around 7 years old and the logo is starting to peel off. This is ½ the expense. Possible ideas- Dueling piano, Grades 1-6 track meet. HS Winter Sports start Nov 11th for Girls Basketball and Bowling, Nov 18th for Boys basketball and Wrestling Looking for workers for our home JH/HS basketball games and Wrestling meets, this is a paid position if interested contact Mr. Lueck Jr. High numbers are about the same as last year. Overall girls sports across the state have gone down in last 10 years. Last year however, there was a small increase. Coaches open forum: Gary Goeller: Track request for the purchase of Two (2) Run Rocket Machines @ $2,000.00 each. This is a training machine that has adjustable tension straps to adjust for more or less resistance. Can be used inside or outside. Can be also used in the summer lifting program or available to the PE classes. Coach Lape reports he would use it during zero hour. Coach Goeller plans to purchase 4 of them total and has the funds to purchase 2 of them. MOTION: Mr. Rex made a motion to allocate up to $4000.00 for purchase of Run Rocket Machines, Second Deena - All ayes motion carried. Nick Schauf: Coach Schauf would like to purchase boys basketball practice uniform sets. Currently there is a mix of multiple different colors that have been used in the past. Club has completed some fundraising towards these. They would cost roughly $50.00/set at the high end. Would like to purchase 45 sets. Coach Schauf is asking for $1800.00 towards the purchase of the practice uniform sets. Discussion was had and jerseys alone would be $35.00/each. Current number of boys out for basketball is 43. Further discussion if 45 would be enough so that would continue to match for future years if an increase in numbers should occur. MOTION: Missy made a motion for up to $2000.00 for the purchase of 50 sets of practice uniforms. Second Burt. All ayes, motion carried. Mr. Rex - Reports the middle school has spent $1010.00 of the allocated funds and those bills should be coming in the next month. A vertical jump tester was purchased to be used for PE and the am strength and conditioning program. Footballs and bags for football equipment was purchased. A new rolling storage cart for basketballs in the gym and batons for track were also purchased. Old Business: Fall fund drive update - if there are any cards outstanding please get those turned in so the fall fund drive can be finalized. Create Committee for Track Meet. - If interested in being on the committee for the spring youth track meet please let Coach Schauf or Jim Prouty know. April 25th is the date set with a rain date of May 9th. The meet could be affiliated with USA track and field or Hershey’s, however this would involve a fee. We could then be on their calendar and would be advertised through their program. Coaches would be required to have a certificate with a class taken and backgrounds checks performed. Jenni Schauf feels like this is not necessary at this time. Coach Goeller, Coach Mohlis will currently be on the committee. Volunteers for workers will be sought at a later time. Dueling Pianos - The date set is April 25th. Travis Bushaw has the plaza booked and will apply for the liquor license. The contract from Pianopalooza should be arriving soon. Riley Mckeeman - Riley is requesting the booster club purchase an aluminum discus circle - $146.00, shot put circle - $196.00, shot put toe board - $240.00 = $582.00. He is planning to complete this for an eagle scout project and plans to install them and poor the concrete. They have been in contact with Mr. Ehn in regards to this and will have Jared Stewart and Mr. Dinsdale also available to guidance in the project. MOTION: Jim Prouty made a motion to purchase the equipment for $582.00 for the shot put and discus equipment for Riley to complete the project, second Mr. Rex. All ayes - motion carried. New Business: none reported Open Forum: Jim presented a form from Jeremy Logan regarding the banner that was used by the cheerleaders for football players at the beginning of the game. Discussion was had that this appeared to be unsafe as the banner was not very long and cheerleaders were at risk of being injured and run over by the players. Deena notes that Jamie Knowles did report the banner was not what they had expected. Jeremy had a design of larger banner and pricing which would include the poles and breakaway banner. Deena will speak with Jamie and see if the smaller banner could still be used for indoor sports. This will be put on next months agenda for approval. Meeting Wednesday October 2nd 2019 Minutes Present: Jim Prouty, Ron Voshell, Jean Logan, Nick Schauf, Terry Rex, Steven Lueck, Janet McKeeman, Ryan McKeeman. Call to order: 6:32PM Secretary’s report: Was posted to the web site. Treasurers report: Approved as read. AD Report: Congratulations to the following students on making All State Choir: Blake Perkins Potential dates for Booster Club fundraisers- Feb 15th, Feb 29th April 25th, May 9th. Possible ideas- Dueling piano, Grades 1-6 track meet. HS Winter Sports start Nov 11th for Girls Basketball and Bowling, Nov 18th for Boys basketball and Wrestling Looking for workers for our home JH/HS basketball games and Wrestling meets. Coaches open forum: Nick Schauf spoke on the Hudl assist program and how it helped break down film for the individual players to help them with film review. Mr. Lueck asked the Booster Club to pay the $900 difference for the school. The athletic fund has paid the balance. MOTION: Mr. Rex made motion to pay $900 for Hudl Assist program for Boys Basketball for 2019-2020 season, Steven Lueck 2nd. All ayes, motion carried. OLD BUSINESS: Fall Fund Drive Update- The total raised as of the meeting date is 13,310.98 School Physicals- Jim talked with Roxanne (Lenz?) and she’s on board. Jim will talk with Dr. Gearhart about doing physicals at the school date to be decided on later. Elementary Track Meet- The preliminary date is set for April 25th with a rain date of May 9th. Mr. Schauf will email to set up a committee. Dueling Pianos- April 25th was the recommended date it will be put on the agenda for the next meeting for a vote. Cake Auction- Will be put on the Agenda for the next meeting to see if this is something we would like to continue and to see if we can find a date that will work. NEW BUSINESS: HuskyCast- Jim will get with Dan Stasi to see if we still owe anything. Also, will be put on the next meeting for discussion. Donation Banner- Should we purchase a banner to be used in the gym. Jim will talk with Serbro. Also, will be put on the next meeting for discussion. Golf Cart- Was discussed and decided the school should decide if this is something that is needed. Sound System – Mr. Rex asked about sound system. It’s fixed. Can we purchase a sound system to be placed above the visitors side press box or use the new scoreboard. Ryan McKeeman spoke about his Eagle Scout project for the Shot Put and Discuss rings Rehabilitation. He was directed to get his totals from donations and come back with what it is he will need to fund this project. Would like donation before December 8th as that is when project has to be completed. Thanks to all who helped at CC meet 9/3/2019. September 21st we host a 9th grade volleyball tourney and we also host conference. Anyone interested in helping out with this please let Mr. Lueck know. Overall numbers have increased by 2% for fall participation. Band and cheerleading numbers increased the most. OMS will begin charging for middle school events $2 for an adult and $1 for a child. Jenni Schauf was hired as an assistant Cross Country coach. Mr. Lueck asked if Booster Club was willing to help cover ½ the cost of Hudle as we have done so in the past. Tabled and will be placed on next months agenda. The total bill was about 4000.00. Coaches open forum: none reported Old Business: Fall fund drive update - $ 9485.98 with the griddle in-kind donation making the odd cents. Last years final was $14,581.00. Jean and Missy made another listing of business from the OCAD website that were not on the original list and Jim will take care of these businesses. New Business: Mr. Schauf discussed having an elementary/Jr. High track meet in the spring. His wife would be willing to head this up and is wondering if the Booster Club would be willing to help with this. It would include 3rd-6th grade. Jenni will attend the next meeting and we will form a committee to work on details. If each coach in their sport could come up with a sport specific contest. Open Forum: Discussed fundraising ideas. Deena talked of having an adult centered activity such as dueling pianos. Deena has some information with cost ranging from $3,000-5,000. Travis B. discussed a Des Moines area Pianopalooza which he felt was about ½ that cost. Travis will check into this. Deena will look into dates and renting the Plaza for this event. Erin Ryan discussed offering school physicals in a group setting and asking if there were area providers who would be willing to donate time for this. Will check with some area providers on willingness to participate. Terry Rex discussed the middle school funds allocated, he will check with all the coaches at the middle school for needs they may have. Terry Rex is helping with the look of the website and has made some changes. If anyone has ideas or things they would like posted to the website please let him know. Will be adding the donors from this year to the site along with what items the Booster Club has purchased and supported. Discussed having a Booster Club pitch on the new scoreboard. Mr. Lueck will check with administration if there is a cost and will have Jim Prouty record a Booster Club pitch to be displayed. Justin Duffy asked if there were volunteers willing to assist for Bingo for the Hazleton Commercial Club for food stand. Directed him to talk with Silver Cord Committee at school. Renee discussed concession stands from last night and the limited availability of food. Discussed that the school only has a single pizza warmer and that was at the football concession stand. Justin is going to check with Pizza Ranch regarding another warmer and Booster Club may be willing to purchase another one to allow school to use and then have available for summer concessions. Recruitment of MS students Aug 26th at 2:50 in the MS auditorium. Officiating is now open to high schoolers for sub-varsity level. This is a great opportunity to get more officials and great experience. Boys high school association is looking into a new classification system and will meet this fall. They will not just consider enrollment to classify, but some other weighted system to determine classes that schools are put into. Scrimmage travel limits are no longer restricted, which opens up how far schools can go for a scrimmage. Discussion of best practices for productive meetings this year. Try to bring the subject to administration first so that research can be done and can be prepared for the meeting to have more answers. Coaches Open Forum: Football program appreciated help in getting the new scoreboard in place and to the sponsors who have made this possible. Will be making a club in regards to helping run the scoreboard and look to students for assisting in this during games. Old Business: Summer Concessions - discussion regarding students handling money. Approximately 4200.00 in profit. Set a date to clean out the concessions. New Business: Fall Fund Drive - coaches to take sheets and ideally have returned for August 27th to the office for the print into the first programs. Varsity will be handed down and will get the new ones. Decker Sports quote was $77.00/ jersey, 24 jerseys would cost $1848.00. Mr. Andersen is asking for half of that. Missy and Mr. Rex will check at Sam’s Club on Tuesday. Missy will also go down to Ace Hardware/Timber Ridge and ask regarding grill donation or if they would give us a discount on one. Potential Award for an Athlete that has been out for multiple sports with a wall of names was discussed. The school would have a plaque put up. Will more than likely not happen this year, but is something the school is considering looking into. Discussion was also had regarding getting a strength and conditioning coach to offer greater weight room coverage.
