February 3rd, 2021 6:30 PM OHS Library Call to Order: 06:31pm Secretary’s Report: Minutes were posted online Treasurer’s Report: Beginning of year balance $27,243.53 Income Received $16,502.87 Expenses Paid $ 9,155.34 _____________________________________________________________ Balance $ 34,591.06 Allocated Funds $ 1,000.00 AD Report: Boys Basketball – post season starts 2/15. Girls Basketball – Post season starts 2/13. Wrestling – Sectionals @ Independence 2/6. Districs @ Solon Bowling – we host boys bowling 2/15 @ Viper Lanes 10:30 am start We host girls bowling 2/16 @ Viper Langes 10:30 am start Uniform Update – Factors to consider when considering When was the last time new uniforms were purchased? What is the condition of the current set of uniforms? How much is the total cost and what funds are available in the club account? What is the philosophy of uniforms for the program? Ex: buy a quantity that outfits everyone 9-12, buy a quantity that is just for varsity and the old uniforms get passed down. Girls basketball uniforms (2014) – they have plenty, however many of the home ones are stained. They are varsity uniforms that have also doubled as JV. JV jerseys need to be thrown out. The away JV is a mixed variety. With numbers going up this year and next year they will struggle to have enough uniforms. Last were purchased in 2014. Softball (2017) – Future purchase would be 3-4 years down the road. Volleyball – Home 2019, away 2016. Varsity uniforms are good for a few years, but JV, JJV and freshman could be replaced. Plan to revisit after next year. JV and freshman are from 2012 and JJV from 2014. Track (2016) Need to update new school logos, but not an immediate need. Wrestling - Will need new uniforms in the future as current ones have the NEIC logo on the back of them. Boys Basketball Girls Tennis – wants to move away from the dresses they currently have, they are not comfortable or functional. Boys Tennis – just purchased for this past year, not sure on inventory, but they are a drifit material shirt. Coaches Open Forum: Jason Gearhart – Cross County uniforms – they currently borrow from track and do not have their own. They have growing numbers with expected 18 boys/18 girls next year. $75.00/uniform. Coach requested booster club cover half the cost of uniforms which would be $1725.00. Motion: Terry Rex made a motion to pay $1725.00 to cover half the cost of new Cross Country uniforms. Second Erin Ryan. All ayes – motion carried. Baseball uniforms are currently 9 years old and players have to supply their own pants. There is currently only 10 pairs each of home and away pants. The rest are shot with major holes in the backside and knees. Coach would like to get 30 sets of home and away uniforms. Cost is 92.00/set he is asking for half the cost to be covered by booster club $2750.00 Motion: Missy made a motion to cover half the cost of $2750.00 for new baseball, uniforms. Second Terry Rex, All ayes – motion carried Bob Lape – Football – We will currently be short 12 sets of uniforms with the numbers we have in the program as of today. The goal is to get every player in the same uniform and not have 4 different sets. The JV uniforms are also in bad shape with numbers peeling off, they were a cheap selection to fill a need. The total cost of uniforms through Powers in Waterloo will be around 15,000.00 for 70 sets of away/70 sets of home and 70 sets of pants. The club has 5,000.00 from can collections. Plan would be to keep the same uniform and only reorder as needed to replace rather than a large order to be needed again. Request is for 10,000.00 from the Booster Club. Motion:Terry Rex made a motion to allocate up to 10,000 for the purchase of new football uniforms, Second Erin Ryan, all ayes – motion carried. Old Business: January Athlete of the Month went to Malayna Kiel – Girls Basketball and Carsen Jeanes – Wrestling. Congratulations. Guidelines were discussed regarding Athletes of the Month and approved as follows: One male and one female athlete will be recognized each month. They will be awarded a certificate printed by OHS secretary approved by Mr. Schauf. Also will be awarded a small item awarded by a local business. 2021 year Subway footlong meal and Caseys large pizza. Nominations: Current season coaches will be e-mailed by Booster Club Secretary a week prior and asked to complete nomination form for 1-2 athletes by the last Wednesday of the month. This will allow them to be brought to the Booster Club Meeting at the first Wednesday of the month. If a meeting isn’t held then all present at the prior month will be emailed the nominations and asked to vote. Voting: Secretary will present the nominations at each Booster Club Meeting. Those in attendance at the meeting will be allowed to vote. In the event a family member is nominated that person will abstain from voting. The nominating coach will also abstain from voting. Presenting Awards: 2 Booster Club officers will then present the athletes with the awards at a practice with a picture being taken. Will briefly interview the athlete regarding activities they are involved in at OHS Oelwein Daily Register Recognition: Secretary will email [email protected] the pictures, statements made by the nominating coach regarding the athlete, and the activities the athlete is involved in at OHS. Chris Baldus (editor) will then create the write up and include other pictures he has obtained throughout the season. New Business: Tennis – Heather Brown the new girls tennis coach looks to bring new energy and excitement to playing tennis at OHS. She would like to get the hitting backboard replaced. The current one is warped and not functional. She would like it to be 10 feet x 32 feet with cost of $8500.00 for a rally master back board. Ideally a wooden one could be made. The hitting board allows them to practice on their own and help for more practice and boosting confidence in playing. It was decided to hold on the board until the next meeting – we could certainly fund some, but need more info. Jim Prouty will speak with City Officials on this as the courts are partly used by the city. on this. Mr. Schauf will speak to Mr. Kastli and Mr. Dinsdale on making these and also consider this as a project for Senior Seminar. Monday/Tuesday next week the awards trophy case will be installed. Donated funds are by the Aldrich family in honor of Mike Aldrich a great supporter of Oelwein Athletics. There will also be a webpage. Yearbooks will be archived from years past starting in 1913. There is a great loss of revenue with this and admin is working on solutions. Other items requesting more info from coaches included: Softball – batting cage extended – Coach Lape – In need of more batting cages to extend the current one and put a pitches warm-up area on the home side. Currently is only an area on the visitor side. Would include 4-6 poles and 2 nets which are about $300.00 each. Basketball – Noah System - both boys and girls – Coach Mohlis/Yessak. It is a system that is placed on the walls behind hoops to give feedback like the arc and rotation for shooters. ½ court cost is $2600.00 and full is $4800.00. Ideally would like 3 so that have one each at the HS, MS, SH. Volleyball – Attach Machine – Coach Andersen – It is like a baseball pitching machine that is used for more consistent serve receive work and situations. Cost is about $3000.00. Vertical Jump measuring system $200-$500. Discussed there is one at the middle school that isn’t being used and can be brought down. Would be used during PE also. Football – Uniforms – Coach Lape – Currently there is about 35 sets for varsity with 3 jerseys/pants per set. We don’t have enough to match a full team with estimate of 47 soph/Jr/Sr. for next year. Coach would like 70 matching sets of white/purple tops at $80 each, yellow pants with purple/white stripe at $45-50/each. Powers in Waterloo is where plan to purchase for the quality of uniform. Plan would be to keep this the same and rotate out as needed. Next year 26 helmets will be required to throw away. Baseball – Iron Mike and portable mound – Coach Gearhart – the mound cost would be $6000.00 and expectation is for the school to cover this. District meet is 10/22 at Jesup. Football has the last home game this Friday and first round play will be announced Saturday at noon. Volleyball has conference tomorrow for 9th and JV at New Hampton. Varsity conference is following a 2 day format with us hosting the second day on Saturday 10/17. Mr. Schauf could use about 15 people to help, mainly needing line judges yet. Regional play will begin 10/19 for volleyball which will be announced later this week. IHSAA has announced that winter sports will continue to move forward just as always. Covid guidelines may follow with state recommendations. We have been proactive and ahead of protocol by using masks and our sanitizing protocols. A partial wish list from some coaches, but not all was presented to the booster club. Discussion was to form a committee to discuss this list and form a plan and schedule on items. This committee will be headed by Jim Prouty and will include Mr. Schauf. Will need another volunteer. The school is looking at being more selective about expenses going out rather saying yes to so many things, for example the student activity passes were not approved this year at a discounted rate. They need to be individually purchased this year. Mr. Schauf will need to leave early due to other commitments. Coaches Open Forum: no report Old Business: Fall Fund Drive – Mr. Rex and Jim P have been working on getting the Paypal account set up and should be ready by the end of the week. Terry will put on the website and Varsity bound site. A QR code has been posted so the donars can be seen on the website. There were 180 letters sent out to businesses for fall donations with 35 returns for $6900.00, personal we have 18 donations for $1775.00. We will owe the school $400.00 for activity passes. Glenda will send a bill after the end of November which has been set as a date to end the fall fund drive. New Business: Huskycast: Dan Stasi has been calling on www.thehuskycast.com now for 7.5 years and has thoroughly enjoyed it. He covers baseball/softball, volleyball, football, boys/girls basketball and wrestling. He thanks the Booster Club for the support over the years. The cost is either $200.00/season or $600.00 for the entire year. New graphics are up that were designed by a former Oelwein grad for Dan. MOTION: Missy made a motion to approve $600.00 for the year to continue with the huskycast call, Second: Ron Voshell. All ayes, motion carried. Training equipment: Mike V reported he currently has to carry multiple bags for equipment which then has to be placed in garbage bags in the event of rain. He would like to get a Milwaukee System that would include 7 pieces that can be stacked and rolled out as a unit. Cost would be $443.00. Discussion was had to see if Mr. Schauf who had to leave early would allow the school to purchase half and booster club the other. Will report at next meeting. Posters 2020/2021 1,600.00 AD Report: Mr Schauf reports we need a protocol for all coming into the building. If we are 6 feet apart do not need masks. However, we would need to take temps when coming in as good practice. Thanks to those that helped with CC meet. Coaches commented that it was cool and all the races were in before the rain started. This takes a great deal of volunteer help and had good comments about how smooth it went. Jr High was at the sports complex and high school at the golf course. Thanks to all who helped make this a success. Big shout out to the football team for a win against Union. The team has bought in to wearing the masks on their facemasks. Thank you to those who sewed the velcro on for the football team, it is greatly appreciated. VBall - first match was against 2 ranked teams and they are being tested, but making good strides and progress. They are also wearing masks and thanks to them too for using them. Wish list document was held off on yet as the coaches are needing to get oriented to the start of school with all the new changes. This will now be sent out and brought to next months meeting. Coaches are doing an awesome job in this time of uncertainty. Temp checks are being done before practice and Covid screening being done each day. It is nice to have some normalcy around and have the ability to play, hopefully we can keep doing well with our prevention practices. Training Camp by Jon Gordon is a good read for athletes and parents and was suggested by Mr. Schauf Coaches open forum: none reported Old Business: Fall Fund Drive and Facebook page - Jim and Terry worked on the Varsity Bound app. The app has a link to the website which describes our donation levels and an address that donations can be sent to. We are not going to be able to get Fidelity to link into it and have online payments. Terry looked into a Facebook app to accept payments as a charity more so than non-profit. Facebook has Facebook pay through our trap club and some fine arts, but hasn’t seen exactly how to go about this. Have to provide proof of the non-profit and may take up to 3 weeks. The process was not clear at this time for how this works. Varsity Bound has an online payment feature, but a minimum of 7.5% and up to 20% would be lost, so decided against this at this time. Motion: Jeremy Logan made a motion to purchase the necessary supplies to send a mailer out to businesses and people for fall fund drive donations vs going out to businesses with the purple card like in the past. Second Terry Rex. Motion: Jeremy made a motion for the booster club to set up a paypal account, SecondRyan Dietzenbach. Discussed other fund raising options. New Business: none reported Open Forum: Discussed other fund raising options. Adjourned at 7:08 pm. Next Regular meeting October 7th, 2020. |
