​BOOSTER CLUB MEETING NOTES
Sept. 6, 2023

CALL TO ORDER: 
  • 6: 30pm 18 people present. 

SECRETARY’S REPORT:
  • Read by Jenn

TREASURER'S REPORT:
  • Ryan shared that ending Aug $40,311.52. Payables $5500. $4400 tarps, VB posters, volt. $1100 Fareway.

AD’S REPORT:
  • Fall sports are rolling. Participation # are down for VB and FB. 
  • Cheerleading # are up.
  • XC going well success @ Linn-Mar and home meet.
  • FB injuries have decreased the # of players so lower level games have been canceled. 
    • Inelig and injury have affected the numbers. 
    • Hoping once that they become eligible and healed they can bring back some of the JV games at the end of the season.
  • VB successful 8-6 right now. Ended up 5-1 Saturday tournament. 
  • Working on winter schedules will share with the club soon, so we can work on getting workers/sponsors for the concession stand.

BOOSTER CLUB AGENDA 
MEETING MINUTES
June 7, 2023

CALL TO ORDER: 
  • 6:39 PM 14 guests and members in attendance.


SECRETARY’S REPORT: 
  • Lindsey read previous minutes.

TREASURER'S REPORT:
  • Ryan reported that starting funds were: $41,459.10 and ending was $38,152.72. 
  • Total of $4,494.60 in payables. $3000 baseball tarps. $990 in protein bars and rest for state track meals.


AD’S REPORT:
  • Jamie Jacobs gave spring sports recap. 
    • Brandon Tournier 3rd overall and girls golf team 9th out of 10th overall. 
    • State track had 3 medals- 1 for Garet Kiel and 2 for Connal Sauser.
    • Baseball/softball games were now in season and hoping for more success and growth from last year. 
    • She has submitted the request to host district games and was hoping to hear from that soon. 
    • With this being her last meeting as AD she thanked the Booster club for their support the last 3 years.

COACHES OPEN FORUM:
  • Open gyms starting with lower numbers for all including Freshman and Upper Classmen.
    • Maybe 50ish students. Not even ⅓ of the student athletes. 
    • MS lower numbers also for 5th -current 8th graders.

OLD BUSINESS:
    MIDDLE SCHOOL FOOTBALL-
  • Terry Rex requested $1000 for new football pants for MS FB. The school would also match and buy game pants so each player would have a practice pair and game pair. Total of 200 pairs would be bought. 
    • Booster club would purchase 62 pairs for $2000. 
    • Cole and Lindsey made and seconded the motion to approve the purchase. 
    BASEBALL /SOFTBALL BATTING CAGE UPDATE-
  • Only one bid received back for $44,793.38 54W x 72L pole building roof and sidewalls. $22,107 frame, $1000 misc cages, $7000 aluminum, $14,500 labor.
  • Jim reached out to three companies for a bid and only received one back.
  • Lindsey and Jim discussed talking to JM Shop to see if they could get the contact info for the person who was building JM Shop to see if they would be interested in providing a bid. 

NEW BUSINESS:
Concession stand-
  • Erin/Deena stated that they would like to have an all coaches meeting to discuss the concession stand requirements. 
    • Many times there were barely 2 adults and 2 kids which is not enough to run the concession stand.
    • If a coach cannot be present for the representing group then a parent representative needs to be present and they need to make sure they have enough help lined up. 
    • Discussion was had stating that this needed to be made mandatory again and to let this be known at the coaches meeting. 
    • They would also talk to Derek Kuennen to have him work on this also.

    
    

OPEN FORUM:
  • November 18th Piano Palooza
    • Still working on exact location. 
      • Locations discussed were:
        • Ampersand, Armory, Coliseum, New Event Center.
        • Armory seemed to be too big and loud and acoustics were not the best.
        • Ampersand can hold around 150 people, but were not sure if by the time the piano was in there if there would be enough space for everything.
        • Coliseum would be a good location but were not sure if the owner would be okay with it and Lindsey and Erin discussed reaching out to Dave Moore and seeing what they could find out. 
        • New Event Center-would that be ready in time?? 
    • Cash Bash in the Fall
      • Could that be held at Ampersand? Cole and Bob Lape were maybe going to look more into that???
    • Fall fund drive
    • Ryan said golf outing is this Saturday and he is in need of more volunteers between 12-3 to send anyone his way that is willing to help. 
      • He noticed sponsorship fatigue when going around for donations for the golf outing. 
      • Discussion was had about spreading the word around the community of how the Booster Club money was spent and also announcing the donors more at games so it is known where the funds are coming from and going.  
        • This can be done via social media, talk to Ehn about Booster club snippets to be done with members and students promoting the Booster club and what it brings to the athletic program. 
        • Discussion was had about setting up a remind for Booster club Lindsey is going to work on this as well. 
        • Same as promoting events, donors, and purchases made LIndsey is going to take over getting this promoted better on social media. She is going to work with Jim to be become an admin on the Booster Club FB page.
    • Lindsey is going to take over the athlete of the month club from Missy. She is going to work on getting it going again for the upcoming school year.
    • Discussion was also had about a mini athlete committee for the Booster Club and having current athletes be a part of the club and at the meetings.
    • Concession stand position still needs to be filled since Tina is no longer doing it. 
      • Jamie and Derek have been looking into getting this filled.
      • Deena and Erin have discussed maybe taking this over but are still working the details.

​The May meeting of the Oelwein Booster Club was called to order at 6:32 p.m. on Wednesday,
May 3, 2023 by President Jim Prouty. There were 12 members and guests present. The
secretary's report and treasurer's report were presented.
AD, Jamie Jacobs, praised the Austin Pink event for being inspiring and engaging and thanked
the Booster Club for sponsoring. Oelwein will host conference and regional girls golf. Boys
golf, track and tennis all have upcoming sectionals, conference and regional meets. Senior
Awards Night is May 17. Baseball and softball just started practice and we look forward to their
upcoming seasons.
A motion was made by Terry, seconded by Lindsey, to allocate up to $800 for prizes at the
Booster Club Golf Outing to be held on June 10. Anyone interested in volunteering for this
event should contact Ryan.
Erin noted that prices will need to increase at our summer concessions stand due to increased
costs. She’s currently waiting on info from Coke to place that order.
Quotes for the baseball/softball cages are to be received by Friday, May 5 from 2 contractors.
Jim will share the information provided so we can move forward before the next meeting. It was
mentioned to consider asking for in-kind sponsorship for the materials needed.
The scholarships had 7 applicants. Three members individually scored the applications and
selected recipients will be announced and presented to at the awards night.
Officer elections were held with all nominations being accepted and approved as follows: Jim
Prouty - President; Lindsey Rechkemmer - Vice President; Jenn Berry - Secretary; Ryan
Dietzenbach - Treasurer.
The Youth Track Meet has been moved to the fall with a tentative date of August 26. A new flier
will be created and distributed to nearby schools and programs as well as on social media.
Terry noted the accomplishments of the Boys Tennis Team as they finished 3rd as a team,
Nevin and Cooper finished 2nd as individuals, and Nevin and Kale took second as doubles. On
May 16, 38 7th and 8th graders will visit Wartburg for a day of fun that includes a tour, lunch,
Q&A with student athletes and The W. They earned the trip by being an active participant in
multiple sports or fine arts offerings.
The meeting was adjourned at 7:02 p.m. The next regular meeting is Wednesday, June 7, 2023
at 6:30 PM in the Oelwein High School library.

The April meeting of the Oelwein Booster Club was called to order at 6:33 p.m. on Wednesday, April 5, 2023 by President Jim Prouty. There were 17 members and guests present. The secretary's report and treasurer's report were presented.

Jamie Jacobs presented the AD report noting that boys and girls golf, as well as boys tennis, had some wins to start the season.  She also noted new AED for buildings and the complex.  

A motion was made by Terry, seconded by Cole to allocate up to $3,000 for tarps for the baseball field.  Motion carried.

Erin is currently waiting on information from Missy in order to continue and update on summer concessions.

A motion was made by Terry, seconded by Lindsey to allocate $2,300 to split the cost to upgrade the track timing system.  Motion carried.

Jason Gearhart volunteered to take charge of the Youth Track meet with a tentative date of May 6.

Parker Sperfslage presented his request for $250 to host Austin Pink, a motivational speaker from Independence, speaking on Hope, Handling Adversity and Success, and Belief to all High School and Middle School athletes on May 1st at 10 at the Williams Center.  There was a motion to approve made by Ryan, seconded by Lindsey.  Motion carried. 

Election of officers will be held at the next meeting. Please consider serving. 

Terry shared that so far there are five applications for the scholarship.  Due date is April 29. 

Cole said the golf teams are very appreciative of the push carts purchased by the Booster Club.

Bob Lape asked for an update on the cages/building at the baseball/softball complex.  We’re currently waiting on a quote.  This will be added to future meeting’s agenda. 

The fundraising idea of a Cash Bash was presented as it’s been done by Wartburg and WSR very successfully.  Information was provided as to what the event would entail and if it is something the Booster Club would like to pursue as a new fundraiser.

Wednesday 3/1/2023

Secretary’s Report: As Posted
Treasurer’s Report: Starting Balance $43,825.82 Received a check for $2,000 dueling pianos also a $100
Donation came in also. Ending Balance $45,623.40.
AD Report: Academic awards go to Girls and Boys Cross Country, Girls Wrestling and Girls and Boys
Basketball. Bowling had 2 bowlers advance.
We hosted 2 Post season games for basketball.
Track has started. Golf and Tennis will start 3/13. Middle school track will start 3/21.
Just a reminder if you have pictures for touch screen in cafeteria please get them to Jamie.
We are switching drink vendors from Pepsi to Coke. School has also signed a contract with NIKE for our
uniforms. Track camera was updated and cost $4400. They will be asking next meeting for ½ of the cost.
Working on youth track meet. Looking at having it April 22 or 29. More to come next meeting.
Coaches Forum: Colin- Baseball had $8000 worth of work done on the baseball field. The tarps no longer
fit and they will be asking for money to purchase new tarps.
Terry-Middle school track needs new batons , Cross county uniforms and football needs new pants. We
will discuss this at a later date
Old business: Piano palooza. Made around $2600. They did raise the price from $2500 to $3000. Terry
made a motion to have them again this year and Colin 2 nd
Summer concessions. We would like to keep this going. Erin and Terry agree to take this over.
Cross country banner: We finally got the bill for this $366 Mike made a motion to pay the full amount

New business: Golf request: Cole is requesting a total of$1368 to purchase 6 push carts. Terry made a
motion to purchase the carts ___________2 nd .
Scholarships: We will do another $500 for each boy and girl. Terry, Ryan and Jim will be doing this.
Weight lifting. Vanderloop was very thankful for the protein bars we had purchased. We would like to
get some for middle school as well. Jeremy motioned to spend up to $1800 to purchase more and give

The December meeting of the Oelwein booster club was called to order at 6:34 p.m. on Wednesday, December 7th, 2022 by President Jim Prouty. There were 18 members and guests present. The secretary's report and treasurer's report were presented.
Jamie Jacobs presented the AD report noting that Winter sports are up and running. She also commented on students participating in honor cheer and national Cheer squad. Ryley Hartman is a girl's wrestling champion. She also unveiled a second mascot costume Moxie the Husky. There are a number of upcoming winter sports events that the school will host.
Josh Vanderloop presented a thank you for the protein bars and other items that were provided by the booster club saying they were very much appreciated. He also gave a card signed by all lifting participants.
Missy jeans presented Joslynn Melchert for volleyball and Jacob Sullivan for cross-country as October athletes of the month. PianoPalooza will be held at the same time next year. We are still waiting on final numbers at this time.
It was determined to add summer concessions to our future agendas as it will be here before we know it.
Terry Rex commented that he is open to website feedback, please contact him with any ideas or suggestions.

​Booster Club Minutes
Wednesday, November 2nd, 2022

President Jim Prouty called the November 2022 meeting of the Oelwein Husky Booster
Club to order at 6:34 PM.  Members and guests in attendance included Jason Yessik,
Zoey Reisner, Ethan DeTimmerman, Carter Jeanes, Jim Prouty, Collin Morgan, Erin
Ryan, Deena Smock, Mia Voshell, Ron Voshell, Cole Thomas and Lindsey
Rechkemmer.
Lindsey Rechkemmer provided the secretary’s report and Ryan Dietzenbach e-mailed
the treasurer’s report.  Both were approved as presented.
Zoey Reisner and Ethan DeTimmerman were awarded October Student Athletes of the
Month.
Fall Fund Drive is still on-going. Cards will go to teachers to solicit remaining
businesses. There’s been a good response this year from Jim and Ron’s ask.
PianoPalooza is scheduled for Saturday, November 19. There’s currently 10 sponsor
tables and numerous couple pre-sales. Pre-sale ends on Friday, November 18. Money
collection should begin for pre-sale requests; checks should be made out to Oelwein
Booster Club. Set-up for the event will be Friday evening.
Jim Prouty adjourned the meeting at 6:53 PM.

Booster Club Minutes
Wednesday, October 5th, 2022


President Jim Prouty called the October 5th, 2022 meeting of the Oelwein Husky Booster Club to order at 6:32 PM.  Members and guests in attendance included Mike Mohlis, Courtny Vandenhul, MIke Vandenhul, Cole Thomas, Collin Morgan, Dalton Lape, Jason Yessik, Deena Smock, Todd Smock, Erin Ryan, Missy Jeanes, Ryan Dietzenbach, Jim Prouty, Lindsey Rechkemmer, Jamie Jacobs, Jean Logan, Ron Voshell, Mia Voshell, Christina Staton, Terry Rex, Carter Jeanes, and Emma Smock. 

Lindsey Rechkemmer provided the secretary’s report and Ryan Dietzenbach gave the treasurer’s report.  Both were approved as presented.      

AD Jamie Jacobs noted the following coaching hires: Gary Goeller - middle school wrestling, Terry Rex - boy’s tennis, Mike Mohlis - baseball assistant, Josh Shunk - girl’s tennis, Quinton Jensen - assistant girl’s wrestling.  She noted Oelwein is still looking to hire for the boy’s basketball staff.  There are two varsity home football games remaining, including senior night which will recognize seniors in football, cheer, cross country and band.  Cross country will host a state-qualifying meet on 10/20.  

Members present voted on September Athletes of the Month from coaches submissions.  Emma Smock and Carter Jeanes were recognized as 2021-2022 Oelwein Husky Booster Club Athletes of the Year -- Congratulations!  

Deena Smock and Mike Vandenhul gave updates on the Pianopalooza.  Table sales (front row plus table service) are halfway to the goal and pre-sale tickets have begun.  Names are being taken and money will be collected a few weeks prior to the event.  A number of people have volunteered - first shift is covered and second shift only has a few openings.  Vandenhuls are overseeing the purchasing of beverages and spoke to what was ordered last year and what will be ordered this year.  Flyers are ready to be hung in local businesses.  Promotion needs to be a focus so please start sharing information on social media.  

The Fall Fund Drive was officially begun.  Ron & Jim solicited businesses for donations.  Jamie has cards for coaches/athletes to pick up for businesses as well.  
     
Michael Mohlis, Varsity Boy’s Basketball coach, submitted a request for $300 to purchase 4 additional new basketballs; the school is purchasing 8 as well.  Motion by Missy, second by Collin.  Motion carried.  Dalton Lape, Varsity Boy’s Wrestling coach, submitted a request for $599 to continue using MatBoss.  Motion by Lindsey, second by Erin.  Motion carried.  

Missy challenged Carter and Emma to find a male and female to attend monthly meetings to encourage athletes to get involved and help the booster club make informed decisions to positively impact our athletic programs.  

Jim Prouty adjourned the meeting at 7:02 PM.  

The next regular meeting will be held on Wednesday, November 2, 2022 at 6:30 PM in the OHS library.

BOOSTER CLUB MINUTES
SEPTEMBER 7, 2022 @ 6:30PM OHS LIBRARY

The September meeting of the Oelwein Athletic Booster Club was called to order at 6:32 by President Jim Prouty.  Members and guests in attendance included Ryan Dietzenbach, Jamie Jacobs, Jean Logan, Deena Smock, Mia Voshell, Ron Voshell, Terry Rex, Collin Morgan, Mike Mohlis, Jason Hoveland, Zach Glew, Lindsey Rechkemmer, Cole Thomas, Jim Prouty, and Bob Lape. 

The secretary’s report was read. Minutes are also posted on the booster club’s website.  The treasurer’s report was given.  Also, a thank you was shared from Christian Stoler, a scholarship recipient.  

Jamie Jacobs announced that two coaches celebrated 100 wins to kickoff fall sports seasons - Bob Lape for football and Lee Andersen for volleyball.  You can catch a live stream for both programs when you can’t be there live. Boy’s Cross Country won their home tournament for the first time.  Cross Country also competed well in a 4A meet over the weekend.  Middle school football kicks off tomorrow.  Cheer team has added school spirit to hallways; check it out next time you’re in the building.  Next week is homecoming! 

Voting was held for Athlete of the Year to be selected from the previous Athlete of the Month winners.  

To kickoff the fall fund drive, Ron and Jim will be going to downtown businesses next week. 

Deena Smock reported on the upcoming Dueling Pianos fundraiser.  The contract needs to be signed She also spoke to the cost for the two players and one tech/sound person, including a hotel and meal. The event will be held at the National Guard Armory on November 19th.  Doors will open at 6:00 with entertainment slotted from 7:00-9:30, followed by social hour. Nobody under 21 permitted.  We are prohibited from charging for alcohol so we are selling a wristband for “night of entertainment” - entry fee, beverages, etc., but will also have a tip jar.  Costs will be $25 per person presale, $30 at the door.  $40/couple pre-sale; $50/couple at door.  Table sponsorships as well - group of 8 - prime seating location.  Poster already created for distribution.  Discussion was held in regards to volunteers needed, snacks being provided, insurance, sponsor tables and how to get increased attendance from last year.       
    
Lindsey brought up looking into a continuous apparel store. She will get more details and report back.

Jim noted that for the baseball and softball cages upgrades, it is being discussed as the school may pay for a portion of this.  More information will follow.  

The school signed a 3-year agreement with Hudl. The booster club was asked to sponsor 50% of the costs at $3100 per year. Jamie and coaches explained what Hudl offers and how it benefits the coaches, athletes and overall programs.  Motion by Ron, Second by Terry.  Motion carried. 

Discussion was held in regards to options to incentivise someone to take charge of the summer concession stands and also work other events as needed.

CALL TO ORDER: 6:30. IN ATTENDANCE: Missy Jeanes, Collin Morgan, Terry Rex,
Jean Logan, Lee Anderson, Jamie Harrings Jim Prouty, Jamie Rummel, Jason
Yessak ABSENT: Ron Voshell, Lindsey Rechkemmer, Ryan Dietzanbach.

SECRETARY’S REPORT: Last minutes posted was May 30 th , special meeting in June
was not posted.
TREASURER’S REPORT: Beginning total $33126.80. After expenses, Approximately
$600 income from golf outing. Summer concessions income $10,856.13, minus
concessions expenses $-6039 for total summer concessions income of $4816.00.
Total ending balance $33687.89.
AD’S REPORT: Fall sports numbers: Football 41, Cheerleading 16, Cross Country
36, Volleyball 33. AD thanks to Mr. Rex for getting gift cards from kwik star, which
donated $300 gift cards in $5 amounts to the strength and conditioning program
for attendance. Gift Cards were passed out to students for different reasons that
attended the summer program. Couple of summer recognitions for Baseball
which had two athletes and Softball which had three athletes. Email was sent to
AD from Albia head volleyball coach regarding the volleyball team and the
positive impact and attitude that they showed during the Pella camp to her team,
and how much she appreciates that and wanted to congratulate the coaches on a
job well done with their players.
COACHES OPEN FORUM: None. Mr. Anderson did mention that the summer
sports camp went very well with a high attendance and would like to thank
everyone that helped with it.
OLD BUSINESS:
ATHLETE OF THE MONTH: July was Ray Gearhart and Emma Smock. Athlete
of the year will be voted on at the next meeting. If anyone would like to take over,
Missy is willing to hand off to someone else.

FALL FUNDING DRIVE: Ron and Jim will be going to downtown businesses
and then will give the remainder of the cards to the coaches.
DUELING PIANOS: Table this until next meeting, no one is present to
discuss this.
SUMMER CONCESSIONS- There are several leftover items from the
concessions that can be purchased. Please see Missy Jeanes if anyone is
interested in those items. Missy will not be doing concessions this year and would
like someone to volunteer to take this over. Mr. Anderson mentioned this being a
good way for students to earn silver cords for graduation, but when COVID hit it
really put a damper on the volunteer aspect, but he is hoping to see this pick back
up.
NEW BUSINESS: Lyndsey (online store), will be tabled until next meeting, she was
unable to attend meeting.
OPEN FORUM: Jamie Rummel discussed the need to have parents of football
players grades 9-11 sign up for team meals. Details were given and asked that if
they could share the facebook post from the Football Team page just to help get
word out, it would be very helpful.
